OARSI 2025 Presenter Guidelines

We’re excited to welcome you as a presenter at OARSI 2025! Invited Speakers, Podium & Flash Talk Presenters, and Pre-Congress & Breakfast Workshop Speakers, please carefully review the following guidelines to ensure a smooth and successful presentation experience.

All speakers must be registered for the Congress. Please visit the registration page on our website for more information.


Presentation Types & Timing

Flash Talk Presentations

  • 2 minutes maximum
  • Limit of 2 slides
  • No Q&A following each flash talk, there will be a combined 2 minute Q&A after all the flash talks in the session are complete. 
  • Flash talk presenters should encourage attendees to visit their poster for further discussion

Podium Presentations

  • 8 minutes presentation + 2 minutes of Q&A
  • Multiple slides allowed

Slide & Technical Requirements (All Presenters)

OARSI Branded PowerPoint Template and Disclosure Slide Template

OARSI has created a PowerPoint Template for speaker to use when building your presentation.  We have also provided a sample disclosure slide that can be used.  All speakers must include a disclosure slide at the beginning of their presentation.

DISCLOSURE SLIDE (REQUIRED)

File Format & Aspect Ratio

  • All presentations must be in PowerPoint (.pptx) or PDF
  • Use 16:9 widescreen format
    • To set: Go to Design > Slide Size > Widescreen (16:9)

Fonts

  • Use common fonts included in Windows (e.g., Arial, Calibri, Times New Roman)
  • Embed fonts in your presentation:
    • File > Options > Save > Embed fonts in the file > Embed all characters

Videos & Images

  • Embed all videos (do not link)
  • Use .mp4 format for videos (h.264 recommended)
  • Supported image formats: JPG, PNG, GIF
  • Save media files separately and bring them with you onsite

Apple Users

  • Convert all Keynote presentations to PowerPoint (.pptx)
  • Avoid QuickTime (.mov) files; convert videos to .mp4
  • Use simple animations (fly in/out, appear, dissolve)

Uploading & Speaker Ready Room

Upload Options

  1. Before arriving onsite
    • Upload link coming soon
    • You will receive login details via email
  2. Onsite at the Speaker Ready Room (Room 202)
    • Check-in is REQUIRED at least 4 hours before your presentation
    • View and test your slides, including fonts, videos, and transitions
    • You may upload a new version onsite via USB or your laptop
    • Presenter View is available — request this at check-in

Session Logistics

  • Arrive at your session room 15 minutes early to check in with the moderator and AV team
  • Flash Talks: Presenters will be called in rapid succession — please sit at the front of the session room and be ready.
  • All presentations will be strictly timed

Poster Presentations

ONLY Flash talk presentations are accompanied by a poster:


Meeting Room & Technical Setup

  • All rooms use Windows 10 computers with Office 2019, synced to the Speaker Ready Room
  • Presentations are displayed via widescreen projectors (1920x1080)
  • Presenters will use a podium laptop and may request a wireless slide advancer
  • USB ports are secured — files cannot be copied back to personal devices
  • All files are deleted after the conference for security

Tips for Success

  • Keep your slides clean, visual, and focused on one main takeaway
  • Clearly present your research question, methods, key results, and conclusion
  • Avoid jargon to keep your talk accessible to a broader audience
  • Visit the Speaker Ready Room early — our team is available to assist you
